Acceptable Use Policy

This Acceptable Use Policy ("AUP") sets out the rules for using StudioStack ("the Service"). It forms part of our Terms of Service and applies to all users of StudioStack.

By using StudioStack, you agree to comply with this AUP. Violation of this policy may result in suspension or termination of your account.

1. Permitted Use

StudioStack is designed for professional visual creatives to manage their business operations. You may use the Service to:

  • Manage client relationships and contact information
  • Schedule, track, and manage photography and creative jobs
  • Upload, organise, and deliver galleries of your creative work
  • Create and manage invoices for your services
  • Communicate with clients through automated notifications
  • Integrate with accounting software you are authorised to use
  • Track payments and manage your business finances

You must ensure your use of the Service complies with all applicable laws, regulations, and industry standards in your jurisdiction.

2. Prohibited Content

You must not upload, store, share, or transmit any content that:

2.1 Illegal Content

  • Violates any applicable law, regulation, or legal requirement
  • Promotes, encourages, or facilitates illegal activity
  • Contains child sexual abuse material (CSAM) or exploits minors in any way
  • Constitutes or relates to terrorism, terrorist financing, or violent extremism
  • Facilitates human trafficking, slavery, or forced labour

2.2 Harmful Content

  • Is threatening, abusive, harassing, stalking, or bullying
  • Is hateful or discriminatory based on protected characteristics
  • Promotes violence, self-harm, or suicide
  • Contains graphic violence or glorifies suffering
  • Is defamatory, libellous, or intended to damage reputation

2.3 Inappropriate Content

  • Is pornographic, sexually explicit, or obscene (except where it constitutes legitimate professional creative work, such as boudoir photography, with appropriate model consent and release forms)
  • Is vulgar, offensive, or otherwise objectionable
  • Contains excessive profanity or crude language

2.4 Infringing Content

  • Infringes any copyright, trademark, patent, or other intellectual property rights
  • Violates any person's privacy, publicity, or data protection rights
  • Contains confidential information of others without authorisation
  • Misappropriates trade secrets or proprietary information

2.5 Malicious Content

  • Contains viruses, malware, ransomware, or other malicious code
  • Is designed to damage, disable, or disrupt systems or data
  • Contains phishing links or deceptive URLs
  • Is intended to collect credentials or personal information fraudulently

2.6 Fraudulent or Deceptive Content

  • Is false, misleading, or deceptive
  • Impersonates any person, business, or entity
  • Misrepresents your identity or affiliation
  • Is intended to defraud, scam, or deceive others

3. Prohibited Activities

You must not engage in the following activities when using StudioStack:

3.1 Security Violations

  • Attempt to gain unauthorised access to the Service, other accounts, or our systems
  • Probe, scan, or test the vulnerability of the Service or any related systems
  • Breach or circumvent any security or authentication measures
  • Intercept or monitor data or traffic without authorisation
  • Forge headers or otherwise manipulate identifiers
  • Use the Service to attack or compromise other systems

3.2 Service Abuse

  • Interfere with or disrupt the Service or servers/networks connected to it
  • Overload, flood, or crash the Service intentionally
  • Use the Service in a way that degrades performance for other users
  • Circumvent any usage limits, rate limits, or access controls
  • Use excessive storage, bandwidth, or computing resources unreasonably

3.3 Automated Access

  • Use robots, spiders, scrapers, or other automated means without permission
  • Harvest, collect, or scrape data from the Service automatically
  • Use automated tools to create accounts or submit content
  • Bypass any robot exclusion measures

3.4 Intellectual Property Violations

  • Copy, modify, adapt, or create derivative works of the Service
  • Reverse engineer, decompile, or disassemble any part of the Service
  • Remove, alter, or obscure any proprietary notices
  • Frame, mirror, or incorporate the Service into another website
  • Use the Service to develop a competing product

3.5 Account Violations

  • Share your account credentials with others
  • Create multiple accounts to circumvent restrictions
  • Transfer, sell, or rent your account
  • Access accounts belonging to others without authorisation
  • Provide false information when creating an account

3.6 Communication Abuse

  • Send spam, unsolicited marketing, or bulk messages
  • Use the Service for phishing or social engineering attacks
  • Harass, threaten, or abuse other users or their clients
  • Impersonate StudioStack staff or representatives
  • Use the email features to send content unrelated to your business

4. Integration Use

When using accounting integrations (such as Xero), you must:

  • Only connect to accounts you are authorised to access
  • Comply with the terms of service of the connected platform
  • Not use integrations to access, manipulate, or export data you are not entitled to
  • Disconnect integrations promptly if you lose authorisation to the connected account
  • Keep integration credentials and access tokens secure

5. Client Portal Responsibilities

When your clients access the Client Portal:

  • You are responsible for the content you share through the portal
  • You must ensure you have the right to share any images or content with clients
  • You should inform clients about appropriate portal use
  • You must handle client access credentials securely
  • You are responsible for revoking access when appropriate

6. Reporting Violations

If you become aware of any violation of this AUP, please report it to us at hello@studiostack.co.uk. When reporting, please include:

  • A description of the violation
  • Any relevant evidence or screenshots
  • The account or user involved (if known)
  • Your contact information

We take all reports seriously and will investigate promptly. Reports may be made anonymously.

7. Enforcement

7.1 Our Rights

We reserve the right to:

  • Monitor use of the Service for compliance with this AUP
  • Investigate suspected violations
  • Remove or disable access to content that violates this AUP
  • Suspend or terminate accounts that violate this AUP
  • Report illegal activity to law enforcement authorities
  • Cooperate with law enforcement investigations
  • Preserve content as required by law

7.2 Actions We May Take

Depending on the severity of the violation, we may:

  • Issue a warning
  • Remove the violating content
  • Temporarily suspend your account
  • Permanently terminate your account
  • Take legal action to protect our rights or the rights of others

7.3 Notice

We will make reasonable efforts to notify you before taking action, except where: immediate action is necessary to prevent harm; notification is prohibited by law; notification would compromise an investigation; or the violation is severe (such as illegal content).

8. Legal Consequences

Important Legal Notice

Violations of this AUP may result in civil or criminal liability. We will cooperate fully with law enforcement authorities investigating violations of law, including by disclosing the identity of users suspected of illegal activity.

You agree to indemnify and hold us harmless from any claims, damages, or expenses arising from your violation of this AUP.

9. Changes to This Policy

We may update this AUP from time to time. Material changes will be communicated via email or through the Service. Your continued use of StudioStack after changes constitutes acceptance of the updated policy.
